3.2 Configuring the NetIQ Mail Provider

The NetIQ Mail provider allows Aegis to monitor specific email accounts for new messages. When a new email message arrives, the NetIQ Mail provider sends an email event to Aegis. If the email event meets defined trigger criteria, the trigger initiates a work item.

NOTE:The NetIQ Mail provider monitors only the inbox for the specified email account. If you have message rules that move an incoming message to another folder, the NetIQ Mail provider cannot send an event for that message.

Using the Aegis Adapter Configuration Utility, you can configure the NetIQ Mail provider to monitor email accounts on the following types of email servers:

  • Post Office Protocol version 3 (POP3)

  • Internet Message Access Protocol (IMAP)

NOTE:

  • The NetIQ Mail provider supports Secure Socket Layer (SSL) for both POP3 and IMAP.

  • Ensure any application that accesses the email account, such as Microsoft Outlook, leaves a copy of incoming email messages on the server. If the application deletes email messages from the server, the NetIQ Mail provider cannot effectively monitor for new email events.

  • The POP3 protocol allows only one active connection per email account. Depending on how you implement the POP3 server, additional connections might disconnect Aegis from the mail server. If you want to configure another email client to connect to the email account, see your email administrator to determine the best alternative to the POP3 protocol.

To monitor a POP3 or IMAP email account:

  1. In the email account you want to monitor, ensure the account is empty or contains only emails for which you want the NetIQ Mail provider to create events.

    NOTE:When you configure the NetIQ Mail provider to monitor an email account, the provider creates an event for each email in the account, and then sends them to Aegis. If a Process Author has not created a workflow to match these events, the events do not initiate work items.

  2. Log on to the Aegis Server computer with an Administrator account.

  3. In the NetIQ program group, click Aegis > NetIQ Aegis Adapter Configuration Utility.

  4. In the left pane, click Email Accounts.

  5. On the Edit menu, click New Entry.

  6. In the view pane, click Monitor an Internet email account.

  7. Provide the appropriate information, and then click Exit.

  8. Restart the NetIQ Aegis Namespace Provider service.

    NOTE:

    • If the Aegis Server computer is part of a cluster, restarting the NetIQ Aegis Namespace Provider service updates all nodes in the cluster.

    • If you do not restart the Namespace Provider service, the Configuration Console displays an error the next time you attempt to log on.

  9. Restart any open instances of the Configuration Console to see the changes.
